Fleet Management
Date: Thursday 6th November 2014
Auckland Councils’ journey
towards fleet optimisation
The bumpy roads,
roadblocks and detours
Background
• Amalgamation of 8 Councils in November 2010
• Various ages, vehicle types, data standards etc
• Unsure of numbers and locations
• Approx. 100 vehicles over 10 years old
Where do you start?
• Mazda sports, Ford Territories, luxury SUVs and even
a modified Nissan.
• 10 year old Kia’s and Swifts
• Can we keep the business moving on day one
• Operational stability
• Do we have enough vehicles in each location for a
general pool?
• All renewals are now through the All of
Government vehicle contract.
• Manage the fleet in-house
• Fleet management system - Fleetworks
• GPS - Navman
•
•
•
•
Fuel measurement/consumption/costs
Unauthorised fillings - Fleetworks
Utilisation - Navman
Commuting/Unauthorised use
• Fleet Policy
• Protocols – Fuel, keys, parking, returning the car, car
appearance
• Wikipedia - Analytics is a multi-dimensional discipline.
There is extensive use of mathematics and statistics, the
use of descriptive techniques and predictive models to
gain valuable knowledge from. The insights from data are
used to recommend action or to guide decision making
rooted in business context.
• Data mining – The extraction of patterns and
knowledge from large amounts of data, not the
extraction of data itself
• Analytics is defined as the scientific process of
transforming data into insight for making better decisions.
Other improvements
• Swipe card vehicle access - Navman
• Cost per km per vehicle – Fleetworks/Navman
• I-journey – Feetworks
• Booked cars still at homebase
Case Study
• Part of the business has extended their team by 9
staff and all of them need a car over and above the
current allocation
• The business is convinced that all the cars they have
are in use 100% of the time
• The cost of each vehicle is approximately $6,500
maintenance and fuel and $6000 in depreciation or
$12,500 per year or a total of $112,000 per year.
• We have started using data to optimise
the fleet and give the business
information to make informed decisions
• We have followed our systems roadmap
• We have implemented co-ordinated
systems and collect usage data
• We have robust reporting
• We have a policy and usage etiquette
• We know what we have
• We know where they are
• We know how many we have
Case Study
• Did the business get the additional cars?
Where are we now?
