Getting it confirmed
Scheduling a session
• During this transition, Liane Taylor is scheduler
o Email [email protected] if you want to schedule a session
• Availability is posted on a Google calendar, Liane
will send you a link so you can see what’s available

Confirming a session
• When your session is confirmed, you will receive an
email with:
• Moderator URL (for session moderator)
• Attendees URL (for attendees)*
• Teleconference number*
• URL to access recording

Available about 10 minutes after session
Click on that URL to access a list of recordings for that room
Find your date/time
Copy the URL for your particular recording to send to your attendees
*Send to your attendees before the meeting

Click on the blue telephone
icon at the top left to see the
teleconference instructions.
On Teleconferencing
• Those who teleconference in DO NOT click TALK to
talk. Whatever they say is transmitted by default!
• As a result, you may want to ask those who use the
phone to MUTE themselves unless they want to talk,
if at all possible
o It is not possible for us to MUTE teleconference callers
• No loss of functionality if teleconferencing
o Can be heard, can hear, and are recorded
o Can interact with Collaborate using whiteboard, chat, etc.
o Can be moderators
3. Load Content (PowerPoint Example)
• PowerPoint program will need to be closed
• Click Load Content button at upper right
• When you select the file to be opened, PowerPoint will open and it
will appear as if your content is disappearing. Don’t worry. It’s not.
It’s a nifty spectacle, though.
• When file is loaded, it has been flattened into an image, so no links
will be active. Workaround will be presented!
NOTE: YOU CANNOT LOAD A WORD DOCUMENT
IN WHITEBOARD. IF YOU WANT TO VIEW A
WORD DOCUMENT, SHARE YOUR DESKTOP.
After you load a PPT
to the whiteboard, the
Page Explorer
appears. You can use
this to re-order, delete
slides, or select slides
to view. You can close
it and re-open it at
any time. Once you
close it, it will appear
in the upper left.
4. Web Page Workaround
• Both Blackboard Collaborate AND Adobe Connect
flatten PPTs, so links are not active
• Workarounds:
o Have a Word document open with URLs, paste in Web Tour when needed
o Use Application Sharing – Share Desktop instead of loading PPT

CONNECT

Making it Work
First steps…
1. Help your attendees
2. Start Recording
Help Your Attendees
1. Have a default slide instructing participants to run
audio setup wizard, etc.
2. Test each participant’s audio as feasible, and
share teleconference number.
3. Give a brief overview of Collaborate and a
chance to interact with whiteboard.
• When you’re ready, click Record.
• If you click again, you will pause your recording.
• The recording is ended when you exit out of
Collaborate and do not log back in for 5 minutes.
Keep an eye on indicators
Changing Permissions
You can change all participants
permissions by clicking on any of the
icons next to Main Room in the
Participants Panel (audio; camera; chat;
whiteboard; share application; web tour)
You can also change each participant’s
permissions by hovering over their name
and clicking on the menu.
NOTE: A maximum of 6 people can
TALK via HEADSET at ONCE.

Use Web Tour when :
• You want your group to look at a webpage together, including an
online video (ex. YouTube)
• You want to look at URLs during a PowerPoint presentation
• Store the URLs you need in a Word doc, and paste in Web
Tour when ready
• DO NOT USE WITH ALA CONNECT
*
* Open URL in Browser is a web push. Instead of opening the web
page in Collaborate, it opens the web page in each attendee’s default
browser. Moderator will not have control over the navigation in a
web push.
Application Sharing
Use Application Sharing when:
• You want your participants to view content on your
computer
• You want to view content on ALA Connect
• You have a PowerPoint with many links and you
don’t want to switch between the PowerPoint in
whiteboard and Web Tour
o For this, you will need to share your entire desktop, not just the PowerPoint
application
• You want to co-edit a document on your computer
Do not use Sharing when…
• You want to view an online video.
• Too much lag when trying to broadcast a video on
your computer via application sharing.
• Use Web Tour instead.
Share Desktop –
STRONGLY
recommended over
sharing particular
applications.
Always check in with your participants, to make
sure they can see what you want them to see! You
may need to make your text larger on your
screen!
PowerPoint Sharing
• REMEMBER: If you are using Application Share to
show a PowerPoint containing links, you MUST share
your entire desktop.
• If you just share the PowerPoint application,
webpages that open in your browser will not be
seen by participants – because your browser is not
shared!
How to Co-Edit

co-edit a document with
another participant.
FIRST: Share the
application in Application
Sharing. THEN:
1. Access Collaborate
Participants panel.

Save chat (File -> Save -> Chat)
Save whiteboard as PDF if desired; selected or all
(File -> Save -> Whiteboard)
