– Indicate on the guardian 1 record if a separate guardian 2 and/or 3
ID will/should potentially exist so you know to give out the correct
information to the correct guardian
– REMINDER: Option also to control G3 access to edit

– Added option to allow Next Year Schedule to be looked up in PC,
SC and TC

HUGE: Added Employee# to TCH.410 record. Sub can
sign into EmployeeConnect - it links to TCH.410 to provide
appropriate TeacherConnect access WITHOUT requiring a
password !!!! Anyone using this feature ????

– Updated email validation
– Put in reminder that email fields should contain SINGLE email
address ONLY; don’t try to fudge other information into those fields
as it will cause you issues
• STU.260 General Report Writer Formats
– Simplified formatting to ask PORTRAIT vs. LANDSCAPE
– Added AVAIL IN TC and AC flags to identify formats that are
available in Admin Connect and Teacher Connect
– Added LEGAL paper size option

GENERAL - Discussion Topic

In CIMS Core if you change extra guardian details (Screen 3) you
need to do it multiple times - for each kid
•
Seemingly simple Solution: Auto update everyone else?
– Who is using Family# where we can even consider this?
– If not Family# then we would be looking for an exact match to know it is OK to just
change and I fear that this is not reliable enough - meaning you would have to
check anyway.

Solution: Search for anyone that had Address, phone, email …..
Provide report so that you know who else might need to be changed?
– Provide for all schools or just yours and unassigned?
•
Solution: Online WebForm and annual process for verifying
student information. Additional reminders on PC about
changing information for all students.

– Prompt for subject and message of email for better flexibility
– Select to indent report in email by ¼” or not

STU.525 Mass Email Message to Parents/Students
– Redesigned prompt into 2 screens (selection and message) and added additional
selections
– Added summary report that lists each student once and shows flags of who got
emailed so you can easily see who did/didn’t get email

– New option to lookup/list all email sent through STU.525 or any of the Connect

attachment not worthwhile!?? .. We need to change this so if
attachment is included, if STU.240=Y send to internal indicating

CIMS sending auto-messages to teachers – student adds, missed
attendance completions .. Only sends to internal mail ? We need to
send this to STU.240=E people??
Internal versus external messaging (STU.240) – probably great idea
to have one policy for the school!

– Added option to indicate what happens to forms and responses at year end
• STU.330 Maintain Student WEB Form Reponses
– New option to view and/or maintain form responses for a specific student. Shows
all applicable forms for the student even if no response has been given yet.
• STU.548 Copy WEB Forms & Responses from Previous Yr
– New option to copy forms and responses from the previous year for those forms
defined to be copied
• STU.558 Student WEB Form Permissions Report
– Added tag select … run a report of anyone with tag XXX and what their response
to form Y was
• STU.648 Mass Add a WEB Form Response by Tag/Student
– New option to mass add a response to a form for all students with a specific tag,
a specific student and/or students

SCH.553 Master Schedule Ministry Defns report
– Added option to run based on entire master schedule, ministry defined courses
only, undefined ministry courses
• Courses with invalid ministry definitions appear on all 3 versions and will indicate the
error
•
SCH.712 Academic Balance Check Report
– Great new report to balance/check students’ scheduled courses for each term
based on district group
• Allows selection of groups, terms, detail vs. summary by group and to exclude course
term count less than a specific number
• EG: Give me all the students who are taking MA, SC, SS in Term1. I will want to
check these to change some scheduling for them!

SCHEDULING - TRAX/Ministry Concern
•
Counsellors, Admin, yourselves … use SCH.320 and for a time period bypass the
Ministry screen thinking - will worry about this later. THEN later comes and TRAX
definitions are carried forward.
– To easy for someone to create a new section and press ENTER
passed the TRAX screen .. That night students all build with bad
records.
Always pay attention to
Year/Month as the default is
just from the previous section
and could EASILY be wrong.
The autofill was built thinking
a smart user is inputting!
Recommend: Limit the # of people that get ‘A’dd for SCH.320.

GRD.511 Print Report Cards – General Format
– Added automatic signatures to the bottom of the report card IF
report card has a defined overlay
– Moved message text into main body of report card allowing for
more report card information per page
– Made page breaks smarter so course marks and comments aren’t
split onto to pages
– Added ability to maintain behaviour/performance indicators per
course/section (work ethic, completes homework, attitude… 4 max)

GRD.550 Student Transcript/History of Marks Profile
– Exclude current course final mark/BC TRAX final mark failures IF
non-credit courses are excluded

Feel STRONGLY about using Honor Roll Tags

Tags are / should be predefined:
– 23A = 2012 3rd Rep card A Honor roll
– 12B = 2011 2nd Rep card B honor roll

Use GRD.591 (as usual) to generate honor roll … TAG students !!!
Use GRD.592 - Who has been on honor roll X times

Include Tag on Report Card = GREAT for eFiling!!!

eFiling Report Card Reminders:
• Don’t eFile too early – do on its own run (not at same time as print)
• Add your school letterhead/overlay at time of eFile – looks much nicer
than just a blank top inch
• Include honor roll tag
• Leave enough time for the eFiling to complete – SUPER IMPORTANT
to not delete the output too early. Use JOB command !!!!
• WONDER: Should we have Report Card Print Selection Format?!

Build Files versus AC Downloads
• AC downloads are great for number of fields but work on
demographics and some attendance fields – anything with
marks or courses … must continue to use CIMS Core.
