Print Audit Rapid Assessment Key v2:
Conducting a Rapid Assessment
Step 1: Access Network
• Plug Rapid Assessment Key (RAK) into USB port on
networked computer (access computer)
• Use any computer running Windows 2000 +
• Does not require server access
Once the RAK has been plugged into the computer, the
application will launch automatically

Step 2: Set up Site Information
• Select an existing site (from previous scan) or create a new site
by typing in identifier (i.e. company name)
• Click the start button

Step 3: Initiate Site Scan
• Choose Discovery Scan from File menu or click on Discovery Scan
button

Step 4: Designate IP Range
• Identify the IP range used by the network printers (consult with IT for range)
• Scan for printers
Subnet Range (default)
RAK will automatically identify the
IP address of the access computer and scan
a standard - 254 IP address range around it.
Custom Range
Select a customer range when printers exist
On a subnet outside the IP address range
used by the access computer.
Multiple Custom Range
Select a multiple custom range when printers
exist across multiple subnets outside the IP
address range used by the access computer.

Step 5: Run the Scan

Be prepared to fill time with customer while scan proceeds
Explain the benefits
Set expectations
Qualify the results
Important:
RAK scans will not access local or USB
printer information, printers without network
cards, or those behind JetDirect boxes.
RAK scans will not capture printers that
are turned off or do not use SNMP protocol.
Networks that block SNMP communication
will not be accessible to RAK.

Step 6: View the Results
• Manipulate the data view to suit your needs
Main viewing grid allows…
- Sorting of Printers (click header)
- Hide columns (left click on Header)
- Re-order Columns (drag and drop
column header)

Step 7: Edit Printers
• Highlight individual printers using ctrl and shift keys
• Edit selected printers
Main viewing grid allows
individual printers to be given…
- Cost per Mono pages
- Cost per color pages
- A value for the rated yield (# pages) per
cartridge at 5%.
Values entered into these fields are
used for all reports.

Step 8: Creating Reports
• Click on reporting button from within the Site Scan window
• Select desired report and select previous scan file to compare
results
RAK scans provide a snap shot of
the meters at the time of scanning.
In order to establish ongoing volumes
two scans from the same site must be
compared.
Each report has the option to
compare results with a previous scan.
By selecting a “compare to:” scan,
the report provides delta values for all
data fields.

Step 9: Reporting the results
Reports can be produced and printed
on the spot.
