You can create signatures in Outlook that can be either
manually or automatically applied to outgoing email. You can
have different signatures that automatically apply to new
outgoing mail or replies only, or many different signatures that
you manually select and apply at will.

tools common in MS Word, such as bold, italics and underline.

In the desktop Outlook application you can add images, such
as .gif or .tif files, to your signature. This feature is often used
to include your organization’s logo, as well as other affiliation
icons in your signature.
You cannot add images to an Outlook Web App signature.
Images can be used as the click through image for a hyperlink
in your signature also, often used for social media and to
provide direct access to your website.

If you use both Outlook Web App and Outlook, you need to create a signature in each.

1. In Outlook Web App, click Settings > Options.
2. In Options, click Settings > Mail.
3. Under Email signature, in the text box, type the signature you want to use. Use the formatting bar
to format the font as you want it to appear.
4. If you want your signature to display at the bottom of all outgoing items, including replies and
forwards, select Automatically include my signature on messages I send. If you don’t select this
option, you can add your signature to a message manually to any message. For details, see
Manually add a signature to a new message.
5. Click Save.

1. If you have created a signature, but did not select the option to add your signature to all outgoing
messages, you can manually add it to specific messages.
2. Click new Mail above the folder list. A new message form will appear in the reading pane.
3. Add recipients in the To or cc field.
4. Add a subject.
5. Type the message you want to send.
6. In the menu at the top of the message, click insert then Signature.
7. When you’re done and your message is ready to go, click
Send.

Specify if your signature displays on every message you send
1. If you have created a signature, you can specify if you want your signature to be added to
all outgoing messages, including replies and forwards.
2. In Outlook Web App, click Settings ( )> Options.
3. In Options, click Settings > Mail.
4. Under Email signature, use the check box to specify if you want your signature to be added
to all outgoing messages.
If you want your signature to display at the bottom of all outgoing items, select Automatically
include my signature on messages I send.
If you don’t want your signature to display at the bottom of all outgoing messages, clear the
Automatically include my signature on messages I send check box.
While you can include images in your desktop Outlook signature block, you can’t include an
image file (such as a .gif or .tif) in your signature block in Outlook Web App.
