Liaisons Responsibilities
Review website for content, broken links, etc. on a regular basis
Contribute
Connect to your website
Before connecting make sure:
Your internet is working
You have SSLVPN on (All Programs > Cisco AnyConnect VPN Client > Login
with your asurite id)

Browse to the webpage you wish to make changes
3. Click the Edit Button
Make text changes
5. Click Send and select Send for Publish on pull down menu
It is important to select Send for Publish (don’t select any other options)
Send the draft to another Contribute user
Select Heather Landes, Amy Ng and Maritza Maurer
Check the Notify recipients through e-mail box. Give a detailed description of the changes.
(to select more than one use Ctrl and click on the names (for Mac interface, Apple and click to
select names).

For Headers use the styles

Special Characters
To add special characters such as copyright, en dash, accents , etc., go to
Insert > Special Characters > Select what you need.
Note: If you are copying and pasting from Word, save your Word file as Plain Text format (.txt),
clean your text and then paste to Contribute. Once text is in Contribute, format special
characters.

Highlight the word or sentence you want to link. Click on Link
and select Browse to Web Page

Under Browse to Web page tab, enter the URL under Web address
(URL), select Browse button to make sure it is a working link

Absolute Links
An absolute link is the full URL of the webpage.
An absolute link looks like http://herbergerinstitute.asu.edu/students/index.php.
A relative link looks like /students/index.php or ../students/index.php.
It is important to convert all of our links into absolute links. To do this, you must copy the URL
you browsed, click on Drafts and Recent Pages and paste it to the HREF: window

Naming Convention Recommendation:
• Lowercase
• No special characters.
• 25 characters maximum.
Example: my_file_name_112509.pdf
Link > File on My Computer > Browse > Select > OK
Spell Check
Before Sending for Publish check your draft for spelling errors.

Note: Contribute will underline a word when it thinks it’s misspelled.

How do I know I have to use an include?
When you open your webpage in Contribute, you will probably see the header, but for the contents you will see
a php icon.

How do I find the include?
You will be provided with a list of includes from the Communications department. This list is located on Google
docs, so you can have access at anytime. Include files are usually in html format.

What do I do next?
Copy and paste the include URL address to Contribute. Edit and Send for Publish as normal.
After the file has been published, make sure to check all the pages that are affected.

• It is not self-manage, Web team staff will update your database entry
• Bio – maximum of 400 words with an option to upload your CV

• Recent faculty accomplishments such as research or innovative/creative
breakthrough, distinctive teaching method, community engagement, major

How do I submit an Event?

• Unit liaisons write, update and submit events
• Communications reviews and approves before it appears on public
pages
• Events for the calendar must be for the general public
•Herberger events calendar and the ASU events calendar do not
share a database, liaisons will need to submit both
• Liaisons may update their events, however any updates takes the
event off the live site(s). Communications will need to re-approve. For
events that are updated within one week of the event, liaisons must
contact Heather Landes and Amy Ng via e-mail to expedite approval.

• If none of the options above apply to your request, then submit a Web
update
• This could be for navigation changes, adding new Web pages, adding
images, etc.

Contribute Office Hours
Every second Wednesday of each month from 1:30–2:30 p.m.
Location: Communications office
The communications team will provide individual support during these
office hours. We will have computers available for you to use.
