An Overview for Students, Faculty and Staff
It’s All About Student Placements
Clinical Rotations/Fieldwork/Internship, etc.
All health-related academic programs at GVSU require student placements
to meet graduation requirements.

Here’s a glimpse of what we do for students, faculty and staff…
• Health Compliance records are being reviewed/audited
• Affiliation Agreements are being established
• Student placement sites are being secured
All this happens so each health-related GVSU student can complete their
requirements for graduation
How it all ties together…
GVSU students apply and are accepted into their selected healthrelated academic program.
How it all ties together…
In order to meet graduation requirements, GVSU students must complete
the number of hours of clinical/fieldwork/internship required by
accreditation bodies for higher education.

GVSU Clinical/Fieldwork/Internship Coordinators, in conjunction with the Office
of the Vice Provost for Health staff, actively work to secure or assist students in
finding their placement sites.

Students submit their individual health compliance requirements per
instructions listed in Blackboard. Each health compliance requirement is
reviewed by the Health Compliance Team in the Office of the Vice Provost for
Health. Additionally, on-going audits are conducted to ensure that students
remain compliant, as placement sites have the right to audit student’s health
compliance at any time.
How it all ties together…
GVSU Clinical/Fieldwork/Internship Coordinators in individual health-related
academic programs contact GVSU’s Health Compliance Team (in the Office of the
Vice Provost for Health) to request an Affiliation Agreement (contract).
The process of establishing an Affiliation Agreement can take anywhere from a
few weeks to several months. An Affiliation Agreement MUST be established
BEFORE a student can be placed at the site for their experiential learning
experience.
Therefore, it is best to plan ahead!
45,000 pieces of information!
At any given time, approximately 3,000 students are actively being tracked in
GVSU’s health compliance system.
Approximately 15 pieces of information is tracked per student
• Immunization/vaccination dates
• HIPAA, FERPA, TB & Infection Control, etc.
• Annual influenza vaccinations, TB testing, CPR certifications, etc.
The math…
~3,000 students x ~15 pieces of information = 45,000 pieces of information!
We need YOUR help…
• Student placement sites can be challenging to secure.
• Because there is competition between Universities for student placement sites, it
is essential that all GVSU students meet all of their health compliance requirements
and remain compliant throughout the time in their health-related academic
program.
• It is essential, and contractually negotiated with placement sites, that all students
remain health compliant. If you become non-compliant, you will jeopardize future
student placements.
What can YOU do to help?
• Allow AMPLE time to complete your health compliance requirements BEFORE the
deadline.
• Call the Health Compliance Officer if you have questions.
• Take professional responsibility for YOURSELF; health compliance will become a
requirement that YOU will be accountable for during YOUR career; start now!
What can YOU do to help?
•Accreditation bodies have the right to conduct audits on student’s health
compliance and if a student is found non-compliant could result in losing an
entire site/hospital system for clinical placements.
•Always remember that YOU are representing GVSU and GVSU’s health-related
academic programs when YOU are at your placement site. Be a positive
reflection of your professional education and training.
It’s Important to Check Back…
•After you submit your health compliance requirements into Blackboard, check back to
make sure that all of your items were reviewed and see if there is anything you need to
follow-up on.
•Many times students think that just because they have submitted their health
compliance requirements they are all set; however, you should not assume that
everything is okay. If you don’t check back, you may not realize that you were sent
emails and notes were entered into your Blackboard Health Compliance Account that
require your follow-up.
•Check back intermittently, but especially before going to a new clinical
rotation/fieldwork/internship site.
•In Blackboard’s “Your Grade Center,” look under the “Feedback to User” area.

Special Considerations…CPR
•Most health-related academic programs at GVSU require American Heart
Association CPR training/certification; however, some require American Red
Cross CPR training/certification.
•Be sure to ask your clinical/fieldwork/internship coordinator which is required
for your academic program.
Special Considerations…Criminal Background Check
•Criminal background checks are completed through a third party vendor, CastleBranch.
• Background checks include the following databases: seven year state of residency, Social Security
Verification, Statewide and Nationwide Criminal Records, National Sexual Offender Index, National
Healthcare Fraud and Abuse (OIG), USA Nationwide Patriot and Motor Vehicle Records.
•The discovery of a criminal record will not necessarily result in the revocation of an acceptance offer or
expulsion from a program of study. Convicted offenses that are subject to the rules of the State
Mandatory Exclusion Regulations may result in the loss of training opportunities at affiliated facilities.
•As experiential education may be a required component of the curriculum, the loss of training
opportunities may affect a student’s ability to meet requirements for graduation.
•Convicted offenses may also result in an individual’s inability to sit for professional licensure exams.
•Individuals have the right to review the criminal background check report for accuracy by contacting the
judicial institution or background check vendor.
Special Considerations…Fingerprinting
•Fingerprinting is done through a third party vendor, LiveScan
•Fingerprint reports only capture criminal activity where a fingerprint was required
•Fingerprints obtained for clinical privileges are not kept on file at the local, state or federal
level; students must be re-fingerprinted for State licensure
•Fingerprinting is required by Michigan law for placements in psychiatric, school-based or
long-term care facilities
•Michigan State law prohibits Grand Valley State University from sharing the raw data of
fingerprint results
Special Considerations…Urine Drug Screen
•Drug Screens are obtained through a third party, CastleBranch.
•Drugs screened for include: Amphetamines, Opiates, Phencyclidine, Cocaine, Marijuana,
Barbiturates, Methadone, Benzodiazepines, Propoxyphene and Methaqualone.
• Prescription drugs may cause a positive drug screen result. At time of drug screen,
individuals are asked to report prescription drug use.
•All non-negative drug screen results are reviewed and verified by a Quest Diagnostic Labs
Medical Review Officer (MRO).
•For non-negative results declared by the MRO, associates at their own expense, will be
given the opportunity to repeat the drug screen within one week for confirmation.
•Failure to pass a ten panel drug screen will result in the inability to participate in
experiential education.
Important Tip…
•Keep copies of all of YOUR health compliance documents:
•Immunizations
•Annual flu vaccinations
•Annual TB testing
•CPR certification
You will need your health compliance documents when you apply for a job…save
time…and start collecting them now.

Frequently Asked Questions…
Student (speaking to GVSU Health Compliance Officer or GVSU Family Health Center Nurse
and stating): “I have to have my health compliance requirements submitted and reviewed
TODAY.”
How long have you known about these health compliance requirements?
Depending on the health-related academic program and the number/type of requirements
needed, students are given anywhere from 3 weeks to up to 1 year to complete their various
health compliance requirements. Health compliance requirement deadlines apply to YOU.
Allow ample time to complete ALL of your required health compliance requirements BEFORE
the deadline, allowing time for titers to be drawn (if needed), test results to be delivered, etc.
Do not procrastinate or YOU are jeopardizing YOUR clinical/fieldwork/internship placement.
Frequently Asked Questions…
Student: “Do I have until 11:59 PM on Friday night (or whatever due date) to submit
all of my health compliance requirements?”
Technically, yes. However, it usually is this same student who then calls the Health
Compliance Officer and asks…
Can you please check my health compliance requirements? I’m starting my clinical
rotations next week and my Blackboard account has not been reviewed yet.
Remember…if everyone in your cohort turns in their health compliance requirements at
the same time, say 100 students times 15 items each…that’s 1,500 items that need to
be visually inspected and reviewed. It takes time. Also, numerous other academic
programs are submitting their items too. So, if you want your items to be reviewed
earlier…submit them earlier. Please be patient.
Frequently Asked Questions…
Student: “My employer forgot to remind me to renew my CPR. I fell out of
compliance, do I have to take a refresher course?”
Remember as a burgeoning healthcare professional, YOU are responsible for YOUR
health compliancy.
If you fall into non-compliancy, and you get audited while at a clinical site, it may result
in GVSU losing the entire site for future student placements. GVSU is contractually
bound to have all students meet and maintain health compliancy.
Frequently Asked Questions…
Student: “I got my flu shot, but they didn’t give me any documentation. Can I just
tell you what date I received the shot on?”
No. Unfortunately, GVSU health compliance must have documented proof of your flu
shot from the healthcare provider/facility where you received it. Ask your healthcare
provider/facility if they can supply you with documentation.
Frequently Asked Questions…
Student: “I only have two weeks remaining at my clinical/internship, do I still have
to get my flu shot? I know exceptions can be made.”
GVSU is contractually bound to ensure that ALL students meet ALL health compliance
requirements as stipulated by the site/facility where they are being trained. It does
not matter if you are in the facility for one hour or an entire semester. GVSU Faculty
must pull students from their placements if they become non-compliant.
Frequently Asked Questions…
Student: “My results are going to be late…is that okay?”
No. GVSU students are given ample time to complete and submit their health compliance
requirements to Blackboard. It is YOUR responsibility to have everything in on time. Build
buffer time into the known deadline to obtain tests, gather documentation, etc. Do not
procrastinate.
GVSU Clinical/Fieldwork/Internship Coordinators do not allow students who have not met
health compliance requirements to be placed at facilities for experiential learning. If you are
already at a site and fall into non-compliancy, you will be pulled from your experiential
learning site.
Frequently Asked Questions…
Student: “Here’s a photo of me with chicken pox that my parents took when I was a
baby. Can this serve as documentation?”
No. Per GVSU’s Health Compliance Policy, students must have documentation of two
Varicella vaccinations OR titer results indicating immunity OR confirmed disease by a
medical provider.
