Monitor Registry Success

KIDS Immunization Registry Program
Philadelphia Department of Public Health
KIDS – Kids’ Immunization
Database/tracking System
• Begun in 1992
• KIDS stores the immunization histories of all
children <6 living in the City of Philadelphia
• KIDS contains almost 300,000 children, and
more than 2 million immunizations
• There are over 300 medical provider sites in
the City that serve preschool children
• The Philadelphia Health Code requires all
provider sites in the City to report
immunizations to KIDS
The Provider Database
• In 1999 KIDS began to contact provider sites,
notifying them of their obligation to
participate in the registry
• The large number of sites necessitates an
organizational system to keep track of
contacts and appointments
• Existing software solutions were explored
• Due to some of the unique needs of a
registry program, a custom solution was
decided upon
The Provider Database - Beginnings
• The initial database design called for one
table that would contain provider site contact
information, an appointment minder, and a
“status” field
• Due to the complexity of forming the initial
list of sites to contact, additional fields were
developed to handle duplicate and confusing
data
• As the registry program grew, a new purpose
was added to the database, to track incoming
data from the provider sites
The Provider Database - Now
• Additional program growth leads to new
developments for the database:
– Re-marketing – due to staff turnover,
provider sites need to be contacted for
marketing meetings multiple times
– Data quality issues needed to be tracked
– Cooperation between KIDS and VFC
created new program initiatives, and new
data to track
The Provider Database – The Future
• There will always be new additions to
the database
• The database will need to interact with
other programs
• We are “pushing the envelope” of the
technology
• We are looking to incorporate the
database into our new upgraded
version of the KIDS Registry

able to evaluate the Registry program in

• Data Quality and Completeness
• Barriers to Registry Participation
• Marketing Success
• User Security

presents different challenges
• Technology changes constantly, and the
need for technology also changes within
our program
• Registries need technology to help
automate tracking and monitoring
functions
