Learning Intentions
In this unit you will:
• Learn the purpose of a database
• The terminology associated with a database
• Learn how to edit and amend a database
Database
• A database is an electronic filing system
• It is an organised collection of related data
• It will allow the user to store and organise
information
Examples of databases:
• E1 – school registration system
• DVLA – Driving and Vehicle Licensing
Agency
Microsoft Access
• This is the electronic database package we will
use
• A table in a database looks like this:
• See page 17 of your notes
Database Terminology
• Database Table – a collection of related
information
• Field – categories/headings used to store
information (column headings)
• Record – individual’s information (row
headings)
• Data type – the format of each field eg: text,
number, date, currency

• Complete Activity 5 on page 18 of your notes.

Activity 6 – Music database (page 19)
• Your teacher will demonstrate the various parts of the
database and show you how to:
• Delete records
• Add new records
• Edit information
• Delete field names
You will find the file on the server – copy to your own
space before making changes!
Don’t forget to tick each instruction once completed.
Consolidate your learning!
• Your teacher will demonstrate how to search for
information from a table by using filter by form
• This allows us to “filter out” records that do not match
our requirements.
• Eg: If I wanted to search an employee database table
for all employees that work in the Admin Department
the filter would remove records of all other employees.
• Now try activity 7 (TV Database) on your own…
