Purpose
The purpose of this presentation is to provide OneView administrators a high
level overview of the mass emailing functionality in OneView so that they:
• Understand the mass emailing capability in OneView
• Can better support the needs of the marketing/ mass emailing users in their
respective country/region

Measuring Marketing Effectiveness
It is important for sales to indicate if a lead or opportunity came as a result of a marketing
project or marketing project item such as a mass email, website/micro-site, tradeshow and
so on. Speak to your regional marketing manager to get a list of marketing projects for your
region.

Mass Emails are sent as part of marketing projects or
marketing project items in support of a campaign.

Mass E-Mailing Defined
– Mass emailing is a module in OneView that allows marketing users to send out an
email to an internal or external distribution list referred to as a static list
– i.e. CSR360, Enterprise News, etc.
– Distribution lists can come from within OneView via saved search or an external list that
is imported into OneView
– Only marketing users that are in the import leads security group are able to import
distribution lists against marketing projects or marketing project items (referred to
as leads)
– There is a special template that is used to import the leads that must be followed
exactly.
– Internal lists are a result of saved searches in OneView against employees,
companies, or contacts
– Mass Emailing is used by the marketing team as a marketing project or marketing
project item in support of a specific marketing campaign in line with the marketing
process

Creating a distribution list within OneView
- Run a search against the appropriate business object in OneView (i.e. Contacts)
- Tick the individual records that you want to use include in the list or simply tick the “Select
All” tick box at the top of the list.
-Click the “Save Selections To” button found at the bottom of the screen
- Find your list on the Saved Searches link under the appropriate business object and in the
static list field on the mass mailing form
Note that when a contact selects
to opt out of receiving future email
correspondences, OneView will
automatically update the
employee profile by ticking the Do
Not Email Box on the employee
profile

Accessing the Mass Emailing Functionality
The mass emailing form can only be accessed from
a marketing project or marketing project item form.
In order for the mass emailing button to be enabled:
-The marketing project type / project sub type
combination must designate that an email blast will
be sent
- The marketing project/ project item must be
approved
-Regional and global marketing users have
the ability to approve marketing projects by
changing the status from “idea” to in progress
and enters their name in the Approved By

- Must save the project/project item form
before the button becomes enabled

Mass Emailing Form
- Schedule a mass email to be sent
on the same day or a future date
- Static list refers to the distribution
list (either imported as a marketing
lead or from a saved search within
OneView)
- Option to designate reporting
metrics
- Specify how the from email address
should appear (i.e. Agility Sea Freight
Group)
- Based on your audience, select the
appropriate template
- Use HTML to customize the email
body

Contacts and Mass Emails
The Interactions Tab of the
Contact Profile displays a
list of all mass e-mails that
a contact received as well
as collateral.
Account managers and
marketing users can enter
information on the
marketing interaction grid
and this includes both
paper and electronic
collateral.

Administrator Support
- Designating Mass Emailing Users
- Tick the marketing box on the employee profile
- Tick the mass mailing box
- Tick the import leads if the user needs to be able to import an external
distribution list
- Assisting in the creation of appropriate saved searches against contacts,
employees, etc.
- Working with both the marketing team and account managers to get contact
information entered and updated in OneView
- Marketing can provide list of back bounce/invalid e-mails that you can
forward to the account managers to update
- Work with the account managers to ensure that they are appropriately linking
leads and opportunities to the appropriate marketing project
